Tutorial 1 for Pro Version: Aggregate and Visualize Your Data

The following dataset will be used for both Tutorial 1 & Tutorial 2 for Pro Version.

Step 1 - Create a Custom Report

Note: You should already be familiar with how to create custom reports in Illuminate. Experience with Illuminate custom reporting is a prerequisite for using the BI Tool.

Tips:

  1. If you’re unsure what data to use, use state assessment data. That will be the simplest data to work with for the purposes of this tutorial.

  2. Using a categorical data point (i.e. Performance Levels and Performance Bands) will be easier than using continuous data point (i.e. Percent Correct, Lexile Scores, etc.)

  3. If your data point has both a text and a numeric value (i.e. Performance Level & Performance Level Text), include both columns in your custom report. For example, performance levels have both a numeric and text value. One column will contain the number (i.e. 1, 2, 3, or 4) and the other column will contain the text value (i.e. Proficient, Advanced, etc.)

Your Custom report must include at least 4 columns: 1. Student ID 2. Data Point of Choice 3. First Data Point for Aggregation (i.e. Current Site) 4. Second Data Point for Aggregation (i.e. Current Grade Level)

Feel free to include multiple data points if you are feeling brave!

Filter Your Report

Remove any and all unnecessary columns and data from your custom report. Any unnecessary data will slow down and unnecessarily complicate your report.

For example, if you're working with assessment data, do you need to include students who did not take the assessment? If you're working with attendance data, you should filter the data for a specific "Attendance Category". If you're working with enrollment or rostering data, do you want to include only current enrollment/rostering data?

Sort Your Data

Your data should be sorted by the columns you will use to aggregate your data. For example, if my report is going to aggregate data by site and then by grade level, the data should be sorted by site, then grade level.

Key Concept: Although you can sort your data in JSS (Jaspersoft Studio), you will get faster performance if your data is pre-sorted.

Be sure to hard sort your data.. In other words, do not just click on the column header to sort the data. Instead, click the Sorting option at the top, and enter a "1" next to the field you want to sort by.
